Record and review live interviews

Send a notetaker into Zoom, Meet or Teams, open an instant room, listen in silently on a live AI interview and take over when you need to, or bring in a recording made somewhere else.

Before you start

  • A verified email address. Meetings only appears in the sidebar once your email is verified.
  • A calendar connected under Integrations if you want Scheduled Meetings and the dashboard week view to fill in. Cal.com is the connector.
  • For listening in, an AI interview round that is actually running. The action exists only while one is in progress.

Open Meetings and learn the three tabs

Meetings sits under Recruiting in the sidebar, at /dashboard/{orgId}/meetings. The header reads LIVE & SCHEDULED with three buttons on the right: Send notetaker, Upload recording and Schedule meeting. Under it are three tabs. All Meetings is everything that has happened. Ongoing AI interviews is what is live right now, each row carrying a Listen in action. Scheduled Meetings is what is coming, pulled from your connected calendar. A second row toggles My Meetings against Team Meetings, and the filters are a search over candidate name, email or title, a date range, All types and All recruiters.

  • A waiting banner appears at the top when candidates are queued to be admitted. It is the one thing on this page worth reacting to immediately.

Send a notetaker into Zoom, Meet or Teams

Press Send notetaker and give it the meeting link. A bot joins the call, transcribes it and summarises it. That is what turns a Human-Led Interview round into a record rather than a memory, and it is why a human round can sit at the end of a pipeline without anyone typing up notes afterwards. Schedule the bot a couple of minutes early, because a bot admitted late misses the introductions and the introductions carry most of the context.

  • Give it the meeting link, not a recording link, and check the host allows guests. Those two cover most notetakers that never joined.

Open an instant room when the conversation is unplanned

Start instant meeting sits on the dashboard welcome bar, next to Create client. It hands you a room and a link straight away, and it still produces a transcript and a summary, so an unplanned call is not a call you lose. The Meetings page carries Copy link and Manage custom link for your own standing room. An empty board tells you to share your meeting link from Settings to start.

Listen in on a live AI interview

Open the Ongoing AI interviews tab and press Listen in on the row. You join as an observer, and the candidate can neither see you nor hear you. This is the fastest way to judge whether a round is set up right, which is why the recommended order for a new role is to sit in on the first two candidates before you run fifty through it.

  • Listen in only appears on AI rounds that are in progress. An empty tab means nothing is live, not that the feature is missing.

Take over, then hand back

Press Take Over to speak to the candidate yourself. The AI interviewer is muted while you have the floor. Press Return to AI to hand back and let the round carry on from where it was. Take over when a candidate is clearly struggling with the format rather than with the questions. That rescues an interview which would otherwise score badly for the wrong reason.

Leave without ending the interview

Leaving offers two choices and they are not interchangeable. Just leave drops you out and lets the interview run to its own end. End for everyone finishes it there and then, for the candidate as well as for you. Pick Just leave unless you actually intend to stop the round.

  • End for everyone ends the interview for the candidate too. On a round you were only observing, that is a wasted attempt.

Bring in a recording made elsewhere

Upload recording takes a call that never touched Expert Hire, for example one your client ran on their own account, and puts it through the same transcription and summary. It lands in All Meetings next to everything else, so a single candidate's history does not split across two systems.

Read what the meeting produced

A finished meeting gives you a transcript and a summary. A finished AI round gives you the full interview report: a score rail carrying the overall score, the round information and any flags, then the Overview, Analysis, Submissions and Resume tabs, with coding and prompt rounds swapping in their own. Read Analysis before the score. The score is a summary and the analysis is the argument behind it. Share sets the report to public, organisation only, or restricted to named people, and Download PDF offers Full or Masked, where Masked hides the candidate's name.

Common mistakes

Transcripts are stored separately and can take a few minutes to appear after the interview ends.
