Onboard a student batch

Send the admin list, get your placement team signed in, invite the batch, then set the companies and roles your students practise against.

Before you start

  • A list of the placement staff who need admin access, with their institutional email addresses.
  • The student list for the batch you are onboarding.
  • Institutional Google or Microsoft accounts, since sign-in runs through those.
Steps

7 steps, in order.

1

Prepare the admin CSV

Start with the people who will run the console, not the students. Build a CSV of the admin institutional email IDs. The only required column is Email. Name and Designation are optional and worth adding, because they show up against each admin later.

  • Email

    Required
    Yes
    What goes in it
The institutional address the admin will sign in with
  • Name

    Required
    No
    What goes in it
Full name of the placement staff member
  • Designation

    Required
    No
    What goes in it
Their role, for example Placement Officer
  • The address in this column has to be the one they actually sign in with. Sign-in is mapped to it, so a personal address here means they cannot get in.
2

Send the CSV to Expert Hire

Email the file to [email protected], or hand it to your Expert Hire point of contact. Our team uploads it. Admins are then auto-mapped and enabled for Google and Microsoft login against their registered institutional IDs. This step is deliberately not self-serve: it is the check that stops an unverified address getting a view of the whole cohort.

3

Sign in for the first time

Go to practice.experthire.io/login and use Continue with Google or Continue with Microsoft with the institutional account you registered. There is no separate password to create. You land on the Dashboard, which is the first item in the left navigation.

  • The login page has a For Companies tab and a For Students tab. Placement staff and students both sit under the student-side app, so use the same entry point you gave the batch.
4

Get the students invited

Students receive an invitation email from Expert Hire with a Get Started button. It names the organisation they have been added to. From then on they sign in at the same address with Google or Microsoft.

  • A student has to use the exact address the invitation went to. A different address creates a second account that carries none of their history.
5

Set the companies and roles they practise against

Open Jobs & Companies. Create company adds an organisation students can target interviews and resumes at, tagged MNC, SME or Startup. Create job adds a role scoped to your institution, tagged by category. Both feed the student interview booking flow and resume targeting, so a batch with an empty list has nothing to practise against.

  • Load the companies that actually visit your campus first. Practising against the real drive list is worth more than breadth.
6

Decide whether students can buy their own credits

Settings has one control that matters at onboarding: Enable student payments. Turn it on and the Payments tab appears to a student once any credit balance drops to 1 or below, so they can top up interview and resume credits themselves. Leave it off and the batch runs entirely on what the institution has licensed.

7

Check the directory once they start

Student Directory lists everyone with total interviews, total resumes, Prompt Engineering sessions, their average interview, resume and FoW scores, and when they last logged in. Each row has View Interviews, View Resumes, Prompt Engineering and a Disable control for revoking access. This is where you see who never activated.

What you get

At the end of this guide.

Placement staff signed in through institutional Google or Microsoft accounts.

A batch that can log in at practice.experthire.io from an invitation email.

A curated list of companies and roles for students to practise against.

A decision recorded on whether students can buy their own credits.

A directory showing who has started and who has not.

Common mistakes

What goes wrong, and the fix.

Putting personal email addresses in the admin CSV.

Sign-in is mapped to the address you send. Use the institutional one.

Students signing up with a different address from the invitation.

They end up with a second account and no history. Tell the batch to use the invited address.

Leaving Jobs & Companies empty.

Students see that list when booking an interview. An empty list means nothing to practise against.

Reading averages before anyone has attempted anything.

Start at the Student Directory and find the students who never logged in.
