Set up a placement season

Create the batches, import the roster, set your offer policy, add the recruiter directory, then freeze profiles and assign roles before the first drive goes live.

Before you start

  • The Placements module switched on for your college. Colleges choose which parts of the portal are enabled, and Placements is off until yours turns it on.
  • The Owner role in the Placements workspace. Coordinators and viewers cannot post drives or change policy.
  • Your student list. Email and name are required on every row, and new students also need branch, graduation year, CGPA and phone.
  • The list of recruiters you expect this season, with a point of contact for each.

Open Placements and read the setup checklist

Click Placements in the sidebar. A season with nothing in it opens on Set up your season, a three step checklist: add a batch, add a company, post a drive. The checklist stays on screen until all three are done, then it is replaced by the live dashboard. That dashboard is four KPI tiles across the top, Placement rate, Profiles complete, Median CTC and Highest CTC, with Next best action and a Pipeline strip underneath running Applied, Shortlisted, Offered, Accepted, Joined. The Attention panel at the bottom lists drives with students yet to apply, students below profile completeness, and offers going stale.

  • Every KPI tile is clickable and every Attention row links to the filtered list that fixes it, so work that panel top down rather than hunting through tabs.

Create the batches before you import anybody

Go to the Students tab and switch to Batches. Add batch takes three things: a name you will recognise later such as 2026 Graduating, the graduation year, and the branches it contains, each added as a chip. The table then lists Batch, Grad year, Branches, Students and an Edit and Delete action per row. Import bulk creates batches from a CSV if you run many at once. Do this first: with the batches already there, the roster import can assign each student to one directly instead of you doing it afterwards.

  • Use one spelling for each branch and use it everywhere. Drive eligibility matches on these strings, so CSE and Computer Science are two different values and a rule written against one will match nobody on the other.

Import the placement roster

Still on the Students tab, stay on Roster and click Import. Drop your CSV and read the preview: it tells you how many rows are ready and how many were skipped before anything is written. Start the import, watch the progress, then fix anything in the per row error table and re-import just those rows. The finished roster carries Student, Branch, Batch, CGPA, Backlogs, Apps / Offers, Complete and Status per row, with a header that reads how many profiles are complete as a count and a percentage. Filters cover batch, branch, Placed, Blacklist, Profile completeness, and which drive or company a student applied to. Select rows to assign a batch in bulk.

  • The importer accepts many column spellings. cgpa, ug_mark and percentage all land in the same field, so you usually do not need to reformat the sheet you already keep.
  • Blacklisting a student requires a reason. Write something a colleague would still understand in six months.
  • This roster is separate from getting students signed in to the practice side of the platform. See Onboard a student batch for that.

Set the offer policy before the first drive

Click the gear icon on the tab strip and open Settings. This panel is owner only. Placement policy is checked at the moment a student presses Apply: a student at the offer cap cannot apply further, and below it a placed student can only apply to a drive that ticks Allow already-placed students, and only when it clears the upgrade multiple or the dream bar. Set these now, before anything is published.

  • Changing the upgrade multiple mid season changes who is eligible for drives that are already published. Decide the policy before you post anything.

Build the recruiter directory

Open the Companies tab. Add company takes a logo, name, website, sector and description, and shows Existing matches as you type. Pick a match and you link to the record that is already there instead of creating a second one. The table lists Company, Drives and Status, and View opens a drawer holding that company's drives, announcements, suggested candidates, relationship details and internal notes. Import bulk adds from CSV. Fill in the point of contact and the next follow up date while you are in there, because next year's conversation with that recruiter starts from what is written here.

  • Suggested candidates in the drawer ranks students by fit and readiness. Treat it as the starting shortlist for a recruiter conversation, not as a decision.

Know which Companies list you are in

There are two lists called Companies and they do different jobs. Jobs & Companies in the sidebar is the practice catalogue that students mock interview and target resumes against. Placements, then the Companies tab, is your real recruiter directory. The same split applies one level down: a job is a practice role in the catalogue, a drive is a real recruiting campaign with a deadline, eligibility rules and applicants.

Chase incomplete profiles, then freeze

Filter the roster on Profile completeness under 60 percent and message that list. An incomplete profile cannot apply to anything, and students almost never notice until a deadline. Once the list is short, go back to the gear icon, open Settings and press Freeze profiles. The pill next to it flips from Not frozen and students can no longer edit their placement details for the rest of the season.

  • Freezing is what stops a student editing their CGPA after eligibility has been checked against it. That edit is the most common source of a placement dispute.
  • Announce the freeze before you set it. The student portal shows a clear message when everything greys out, but a surprise still generates a week of queries.

Assign roles and check the activity log

The gear icon also holds Team, which is owner only. Invite member takes a name, email and role, and Send invite emails the new admin a link to set a password. Owner covers everything including drives, team, freeze and blacklist. Coordinator runs existing drives, the roster and applications but cannot post new drives, manage the team or change policy. Viewer is read only and every action button is hidden. The third panel behind the gear is Activity, an audit trail of who changed what with field level detail, plus every bulk import and its outcome.

  • An admin with no explicit placement role is treated as owner. Assign owner, coordinator or viewer deliberately rather than relying on that default.
  • Removing someone from Team removes their admin access to the whole college, not just to Placements.

Common mistakes

What goes wrong, and the fix.

Importing the roster before the batches exist.

Create batches first. The import can then assign each student to one as it runs, instead of you doing it row by row afterwards.

Spelling a branch differently on the drive and on the roster.

Eligibility matches on the string. Pick one spelling per branch and use it in the batch, the roster and every drive.

Setting the offer policy after drives are already live.

Changing the upgrade multiple mid season changes who is eligible for published drives. Set it before the first one goes out.

Typing a company name past the Existing matches list.

Pick the match rather than creating a duplicate. If you already have one, move its drives across first, then deactivate the duplicate.

Freezing profiles without telling the batch.

Send the announcement first. Students see a clear message, but an unexplained freeze still fills your inbox.
