Run a placement drive

Build the drive in two steps, watch the eligibility counter, publish it, rank the applicants against the JD, move them through stages, roll the offer and record joining.

Before you start

  • At least one company on the Companies tab. Add drive is blocked until a drive has somewhere to belong.
  • A batch and a roster with branch and CGPA filled in, because eligibility is checked against those fields.
  • The Owner role. Add drive is hidden from coordinators and viewers.
  • The job description, or the notes to draft one from.

Read the Drives board

Open Placements and go to the Drives tab. The count under the heading reads live and draft separately, for example 5 live and 1 draft. Cards are sorted Published, Proposed, Draft, then Closed, so anything waiting on you sits near the top. Each card carries the company, the role, the CTC range, fill progress as 0 of 5 filled, the apply by date and the applicant count. Filters cover status, job type, company, batch, branch and CTC range. The card actions are Publish, Manage, duplicate, approve, close, and delete for an empty draft.

Step one of the form: what students will see

Click Add drive. The first step is everything a student reads before applying: the company, the role title, the job type, the job description, the locations, the apply deadline and the salary or stipend. Generate with AI writes the description for you. It is a first draft, not a final JD, and it does not know your college's specifics, so read every line before you move on.

  • The apply deadline is what the student sees as a countdown, and a closed drive cannot be reopened for one student who missed it. Set it with the recruiter, not from memory.

Step two: eligibility, openings and the application form

Click Add details for the second step. This is where you set the required skills, any documents applicants must attach, the eligibility rules, the number of openings and a custom application form if you need one. Eligibility is minimum CGPA, allowed branches and batch years. As you type, a counter tells you how many students match out of the roster. Watch it. If it reads zero, either a rule is too tight or a branch name does not match the spelling on your roster.

  • The counter is the cheapest check you have. A drive that matches nobody looks identical to a drive that matches everybody until you publish it.

Save as a draft, then publish

Create drive saves the drive as a Draft. Drafts are invisible to students, so it is safe to build a drive over several days and get the JD approved before anything goes out. When it is ready, Publish on the card makes it visible on the students' Open drives tab. Proposed is the state for a drive that has been put forward but not yet approved, and Approve on the card moves it on. Closed stops new applications but leaves existing applicants exactly where they are.

  • For a company that comes back every year, use Duplicate on last year's card instead of rebuilding the drive.
  • After publishing, the drive appears in the dashboard Attention panel with an N yet to apply count. That number is usually students who have not seen it, not students who decided against it, so Send announcement is worth using.

Rank the applicants against the JD

Open a published drive from Manage and scroll to the Applied tab. Rank resumes fills a JD fit column for every applicant in one action. From there, filter by minimum CGPA or by branch to narrow the list before you start reading. Students see the same drive from the other side with each eligibility rule marked pass or fail and a reason on the one they fail, so an applicant list should contain nobody who was ineligible in the first place.

Move people through the stages

Tick the candidates you want and use Move to stage, then Shortlisted. Terminal moves ask you to confirm first, because they email the student. On the student's side the same application shows as applied, under review, shortlisted, interview, offer pending, accepted, declined, not selected or withdrawn, with a line saying what happens next, so the stage you set is the message they get.

  • Confirm terminal moves deliberately. Rejecting a batch of applicants is a batch of emails and it cannot be taken back.

Roll the offer

On a shortlisted row, click Roll offer and choose the role. The offer appears on the Offers & joining tab with the status Rolled. The student then adds their CTC and uploads the signed offer letter from their own portal, which is why an offer with no CTC on it usually means the student has not got there yet rather than that something is broken. When they accept, or when you press Mark accepted on the row, the status moves to Accepted.

Every offer with its student, company, role, CTC, type and status, and the action available on each row.

  • Accepting an offer marks the student placed and automatically withdraws their other active applications. Their old applications will read Withdrawn even though they did not withdraw them.

Record joining, then close the drive

Set joining on an accepted row records the date the student actually starts, and the status moves to Joined with the date shown under it. The status chips across the top of the tab carry a count each: All, Rolled, Accepted, Joined, Deferred, Declined, Revoked and Reneged. Keep those current as the season runs rather than reconstructing them in March. When the drive is done, close it. New applications stop and everyone already in the pipeline stays untouched.

  • Reneged means the student backed out after accepting. Revoked means the company withdrew. Record them differently, because the answer matters the next time that company asks about your students.

Common mistakes

What goes wrong, and the fix.

Looking for Add drive and not finding it.

You are signed in as a coordinator or a viewer. Only owners can post drives.

Publishing a drive whose eligibility matches nobody.

Read the match counter on the eligibility step before you leave it. Zero almost always means a branch name that does not match the roster spelling.

Assuming a created drive is a live drive.

Create drive saves a Draft, and drafts are invisible to students. Nothing is live until you press Publish.

Publishing the AI generated job description unedited.

Generate with AI is a first draft. It has no idea what your college has agreed with that recruiter.

Closing a drive to pause an in flight process.

Closing only stops new applications. Existing applicants stay exactly where they are, so it will not hold anything back.
