Set up a client workspace

One agency account, one workspace per client company, each with its own jobs, candidates, branding and analytics.

Before you start

  • An agency account on Expert Hire.
  • The client company name, and their logo if you are branding the workspace.
  • The roles that client has open right now.
Steps

5 steps, in order.

1

Create one company per client

Add each client as its own company under your agency account. One client, one workspace. Jobs, candidates, branding and analytics all sit inside it. Nothing leaks between clients.

Every client company as its own workspace under one agency account.

  • Do not run two clients inside one workspace. Separating them later means moving jobs and candidates by hand.
2

Brand the workspace

Upload the client's logo and set the company name so the workspace reads as theirs. Client workspace branding is included on every plan. Your own logo and custom domain unlock on Growth, and the DKIM-signed sending email domain sits on Scale.

3

Create the jobs under that client

Create jobs inside the client workspace, not at the agency level. When you add a round you can tie it to the client company explicitly, which is what keeps the pipeline board clean when you are running twelve clients at once.

4

Work the shared pipeline board

The board shows candidates by stage across the workspace. Move cards, see activity per card, and keep every recruiter on the team looking at the same picture. Team members are unlimited on every tier, so you never pay per seat to add a recruiter.

5

Report back to the client

Share candidate reports or download them as PDFs. Resume masking removes identifying details before a report leaves the pipeline, which matters when you are sending a shortlist to a client who should not see contact details yet.

  • Credits are one shared pool per workspace, so plan the month across all your clients rather than per client.
What you get

At the end of this guide.

One account that runs every client, with a separate workspace each.

Per-client branding, jobs, candidates and analytics.

A pipeline board per client that the whole team works from.

Shareable reports with masking before they reach the client.

Common mistakes

What goes wrong, and the fix.

Running several clients out of one workspace.

Create a company per client from the start. Untangling it later is manual work.

Paying attention to seats.

There are no per-seat charges. Team members are unlimited on every tier. Credits are the only meter.

Sending a raw report to a client too early.

Use masking so identifying details are stripped before the shortlist leaves your pipeline.

Assuming white-label is per client by default.

Client workspace branding is on every plan. Your own domain and logo start at Growth, and the sending email domain at Scale.
