Instant meeting rooms

The best hiring conversations are not on anyone's calendar.

Open a room in one click. Have the conversation. You get back a recording, a transcript and a titled report, scored against the skills and weightage you set on the job. A live copilot suggests follow-up questions while you talk.

A live interview conversation inside an Expert Hire meeting room
Open the room, have the conversation and keep the evidence.

The unscheduled hour

Your best signal is the conversation nobody wrote down.

A referral calls back. A candidate says they are free right now. A hiring manager wants five minutes on the shortlist. None of it has an invite, so none of it has a room, a recording or a score. It changes your mind and leaves no trace in the pipeline.

The conversation that decided the hire is the one with no record of it happening.

The referral who calls back

Someone in your network rings about a candidate they rate. There is no invite, so there is no room, no recording and nothing to attach to the candidate.

The strongest lead in your pipeline enters it as a memory.

The candidate who is free now

A good candidate has twenty minutes today and nothing next week. Booking a slot trades the window you have for one three days out.

You trade a live conversation for a calendar hole.

The five-minute hiring manager

A hiring manager wants a word on the shortlist. It happens on an unplanned call with no title, no attendee list and nothing at the end of it.

The call gets made off the record and nobody can retrace it.

The write-up that never happens

The call ends and the notes get typed from memory hours later, if at all. Nothing reaches the candidate file where the rest of the evidence lives.

One candidate is compared on a written record, the next on a recollection.

Here is what an on-demand room does instead.

What an instant room is

A room that is already open, before you need it.

Not a video link you generate and paste. A standing room for the calls that never make it onto a calendar, in the same pipeline as every scheduled round.

01

One button on the dashboard.

Press Start instant meeting in the header of the recruiter dashboard, next to Create job. No calendar entry, no link to generate, no scheduling back and forth with a candidate who is already on the phone. The room exists the moment you press it.

02

The room is persistent, not disposable.

Rooms are on-demand and persistent, not single use. Meetings sits in the workspace sidebar under Recruiting, next to ATS and Candidates. A room is a place you go back to, not a link you lose in a thread.

03

A waiting queue, so you control who is in.

Candidates land in a waiting list and you admit them one at a time. Copy invite link shares the room, End session closes it. Between calls you land back on an empty room rather than a dead link. In-call messages are visible only during that call.

04

It records and transcribes what happens.

Everything said in the room is recorded and transcribed. The transcript is speaker separated and searchable, so you can read the candidate's answers on their own.

05

It files itself under a title.

When the call ends, the recording is filed as a report in the Meetings list under the call's title. You set the report type to Client Introduction or General, and the report is waiting when you get back to your desk.

Instant meetings live in the same workspace as your pipeline and your reports, so the ad-hoc call and the structured round land in the same candidate file.

The room opens from the workspace you already work in. The call lands on the same report as every AI round, and files into the Meetings list with every other call your team has taken.

One surface for every call.

Meetings is a first-class sidebar item under Recruiting, next to ATS and Candidates. Send notetaker, Upload recording and Schedule meeting sit in the header. The tabs split All Meetings, Ongoing AI interviews and Scheduled Meetings, so a live AI round and a call you just took are in the same place. Filter by type, source or recruiter, and switch between My Meetings and Team Meetings.

The report it becomes.

A meeting report opens on Summary, with Details beside it. The summary runs under fixed headings, and where a topic never came up the line reads Not discussed instead of a guess. The recording and a searchable transcript sit in the right rail, and clicking a transcript line jumps the recording to it. When the call was a candidate interview you also get the scored candidate report: an overall score out of 100, a fit chip, a verdict line and a score on each skill.

Coded product UI. Every name, company and figure inside the screens is sample data.

The live copilot

A prompt for the next question, mid-sentence.

The hard part of an unplanned interview is that you did not prepare for it. You are running the call, reading the person and trying to think of a sharper follow-up at once. The copilot handles the third job.

Follow-ups, while you are still talking.

A Copilot listening chip sits at the top of the room for the whole call. It follows the conversation and suggests the next question to ask. It suggests, you ask. When an answer sounds fine and says nothing, the follow-up is already on screen.

You are still the interviewer.

The copilot decides nothing and there is never an automated pass or fail. The round stays a Human-Led Interview, run by you, with the recording and the transcript kept so the call can be checked later.

The notes are already written.

The 2 credits for a recruiter-led interview cover the copilot, the notes and the transcript. You leave the room with the write-up already done.

A suggested question does not change how the round is scored. Whatever gets asked, the answer is scored against the skills you picked for the job, the weightage you set on each one and the JD.

Listen in, then step in

Sit in on an AI round without interrupting it.

Instant rooms are not the only live surface. When Ethan is running an AI interview, you can listen in without interrupting, then take over in real time. You decide during the call, not before it.

Silent listen-in.

Drop into a live AI interview and watch without interrupting. The candidate's round runs exactly as it would have. Use it to check a new round before you run it at volume, or to watch a borderline candidate instead of waiting for the report.

The round continues uninterrupted.

Real-time takeover.

Take the interview over mid-session. What started as an AI round finishes as a human one. It is still recorded, transcribed and scored against the same skills and the same JD.

Recorded and scored either way.

Ethan runs the AI rounds. You decide when a human should be in the room, and you can change your mind while the round is still running.

What lands afterwards

The room closes and the report is already there.

An instant meeting does not end in a to-do. A meeting report opens on Summary, with Details beside it, the recording and a searchable transcript in the rail, and anything that was not discussed marked as Not discussed rather than guessed. When the call was a candidate interview, the answers are also scored against the skills and weightage you set on the job, the same as an AI round. A call you took on ten minutes' notice stays comparable with a round somebody planned three weeks ahead.

When the call was a candidate interview.

You get the same scored reportcard every other round produces, so two candidates assessed two different ways can still be put side by side.

  • An overall score out of 100, with a verdict line and a fit chip such as Strong fit for role
  • A score on each skill you set on the job, drawn from the transcript and the code
  • The full recording, with playback, attached to the report rather than sitting in a drive
  • A speaker-separated transcript you can search and filter to All, Candidate or Interviewer
  • Malpractice status next to the rest of the evidence, never a standalone verdict
  • Share and Download PDF, so the report leaves in a form a client or hiring manager can read

A human still makes the call.

Integrity signals are surfaced to a human reviewer next to the transcript and the code. A flag is never an automatic verdict, an integrity flag never rejects anyone, and there is never an automated pass or fail.

Reports are never metered.

AI reports and insights cost 0 credits. You pay for the conversation, not for the write-up of it.

Where the meeting happens

Host it here, or bring the bot to your call.

Human-Led Interview is one of the five round types. Choosing it does not move your team onto a new video stack. Host the meeting inside Expert Hire, or run it on Zoom, Meet or Teams with a notetaker bot in the room. The report that comes back is the same.

Hosted inside Expert Hire.

Run the meeting in an instant room. Nothing to install and nothing to connect. The recording, the transcript and the report come from the same system that runs your AI rounds.

Best for calls that start with no notice.

Hosted on Zoom, Meet or Teams.

Keep the video stack your team and your clients already use. A notetaker bot joins the room. The call comes back recorded, transcribed and scored against the same skills and JD as an AI round.

Participants are notified that the call is being recorded.

Already ran the call?

Pick a recording of a call you already had and score it against the job. You get the full report without asking the candidate to interview again, and every score comes from the transcript.

No re-interview required.

The note-taker bot has its own page with the detail on how it joins a scheduled call. The integrations page covers what Expert Hire connects to today.
