This Privacy Policy explains how Expert Hire ("we", "us", or "our") collects, uses, discloses, and protects personal information when you access or use our website, platform, applications, and browser extensions (collectively, the "Service").

By creating an account, accessing, or using the Service, you acknowledge that you have read and understood this Privacy Policy and agree to the collection and use of information in accordance with it.

1. Who This Policy Applies To

  • Students and job seekers using Expert Hire for preparation or practice
  • Employers, recruiters, and staffing agencies using Expert Hire as a SaaS platform
  • Enterprise customers and universities governed by separate contracts
  • Candidates whose data is uploaded by recruiters or employers

Where an enterprise agreement, university agreement, or Data Processing Agreement (DPA) exists, the terms of that agreement will prevail over this Privacy Policy.

2. Controller and Processor Roles

Expert Hire acts as:

  • Data Controller for students, job seekers, and other users who directly create accounts and use the Service for preparation, analytics, or learning purposes.
  • Data Processor when employers, recruiters, staffing agencies, or institutions upload or manage candidate data using the Service.

In processor scenarios, the employer or institution is the data controller and is responsible for providing required notices and obtaining any necessary consents.

3. Categories of Data We Collect

a. Personal and Account Data

  • Name
  • Email address
  • Phone number
  • Account credentials
  • User preferences and settings

b. Candidate and Employment Data

  • Resumes and CVs
  • Work history, education, and skills
  • Interview responses and assessments
  • Recruiter notes and evaluations
  • Generated reports and summaries

Candidate data may be provided directly by candidates or uploaded by recruiters, employers, or staffing agencies, including through our Chrome extension. Recruiters confirm they have lawful rights to upload such data.

c. Communications Data

  • Emails
  • In-app messages
  • WhatsApp messages via WhatsApp Business APIs
  • Call metadata such as timestamps and duration
  • Call recordings where enabled and legally permitted

d. Usage and Technical Data

  • IP address
  • Browser and device information
  • Log files and event data
  • Extension usage and interaction data

4. Chrome Extension Data

Our Chrome extension allows recruiters to upload resumes and create candidate profiles. While resumes may be masked in the interface to limit visibility, underlying data may still be securely stored and processed to provide core functionality. Masking is a presentation feature and does not constitute anonymization unless explicitly stated.

6. Analytics and Monitoring Tools

We use third-party analytics and monitoring tools to understand usage and improve reliability, including:

  • Google Analytics
  • Google Tag Manager
  • Microsoft Clarity (including session replay)
  • PostHog
  • Sentry
  • Kibana
  • Firebase Crashlytics

These tools do not make hiring decisions and are used solely for analytics, diagnostics, and performance improvement.

7. Data Sharing

We may share data with:

  • Service providers and subprocessors
  • Employers or recruiters using the platform
  • Affiliates and business partners
  • Authorities when legally required

8. Data Retention

We retain personal data only as long as necessary for the purposes described in this Policy. Retention periods may be configured by enterprise customers. Data may be deleted, anonymized, or aggregated where appropriate.

9. Cross-Border Transfers

Data may be processed in locations where we or our service providers operate. We apply reasonable safeguards to protect data during such transfers.

10. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or object to certain processing of your data. Requests related to employer-uploaded candidate data may need to be routed through the employer.

11. Security

We implement reasonable technical and organizational safeguards to protect personal data, including access controls, encryption, monitoring, and incident response procedures.

12. Children and Age Limits

The Service is not intended for children under 13. Where required by law, parental consent may be required.
